What we collect
When you complete our enquiry form, message us on WhatsApp, or email us, we collect the details you give us, which may include:
- Your name
- Your company name, if you give us one
- Your email address
- Your phone number
- Your property address and postcode
- Your property type and the service you're interested in
- Any photos you choose to send us — for example of a control panel, keypad, or existing equipment — whether attached to our website form or sent directly on WhatsApp
- Any information you include in your message
If you enquire through our Audit & Assurance form — our auditing and consultancy service for other fire & security companies — we collect the details you give us there instead, which may include:
- Your name and your role within your company
- Your company name, location and website address
- Your email address and phone number
- The approximate number of engineers your company employs
- The accreditation or improvement goal you are working towards, and the stage you have reached
- The audit service you are interested in
- Any information you include in your message
If you enquire through our Subcontract Services form — our subcontract engineering service for other fire & security companies — we collect the details you give us there instead, which may include:
- Your name and your role within your company
- Your company name, location and website address
- Your email address and phone number
- Whether your company holds a certification-scheme registration, and which one
- The disciplines you would subcontract and the type of cover you need
- Any information you include in your message
Information shared with us through either of those trade forms, and anything discussed on an introduction or scoping call, is treated as confidential. We do not disclose it to any third party, and where an engagement proceeds it is covered by a mutual non-disclosure agreement.
We do not collect special category data, and we do not ask for payment details through this website.
Why we ask for photos
Some of our enquiry forms let you attach photos of your existing system — for example a control panel or keypad — before we attend. This helps us assess ahead of a visit whether a job is one we can take on, and helps with quoting, so neither your time nor ours is wasted. Sending photos is always optional. If you send photos to us on WhatsApp instead of through the website, the same principles in this policy apply to how we use and store them.
How we use it
We use your information only to:
- Respond to your enquiry and arrange a site survey, chargeable visit, or quote
- Assess ahead of a visit — using any photos you've sent — whether we're able to take on the work
- Provide the services you ask us about
- Keep records of our correspondence and work
- Meet our legal and regulatory obligations
We will never sell your data, and we will not send you marketing you didn't ask for. If we ever wanted to send you updates, we'd ask your permission first.
Our lawful basis
Under UK GDPR, we rely on:
- Legitimate interests — to respond to enquiries and run our business;
- Contract — where we're taking steps to provide a service you've requested;
- Legal obligation — where we're required to keep certain records.
Who we share it with
We keep your information to ourselves as far as possible. We only share it with:
- Our website, form and workflow providers, who process form submissions — including any photos you attach — and route them into our records on our behalf so your enquiry reaches us;
- Our CRM provider, where we store enquiry and customer records, including any photos submitted, so we can manage and respond to your enquiry and assess your job ahead of a visit;
- Professional advisers or authorities, where we're legally required to do so.
Any provider acting on our behalf does so as a data processor under appropriate terms.
How long we keep it
We keep enquiry information only as long as we need it to deal with your request and to meet our legal obligations. Where an enquiry doesn't lead to work, we'll delete it once it's no longer needed. Where we carry out work for you, we keep relevant records for as long as required for tax, legal and warranty purposes.
Your rights
Under UK data protection law you have the right to access your data, correct it, ask us to delete it, object to or restrict how we use it, and request a copy of it. To exercise any of these, email info@apexpropertycompliance.co.uk and we'll respond within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
